The Purchasing Agent is responsible for vendor management, negotiating prices, information system database management, developing RFPs, insuring goods and services meet the Museum’s performance standards, and placing Purchase Orders for products requested through the requisition process.
|Responsibilities, Duties, and Functions of this Position||
In this role, the Purchasing Agent will issue Purchase Orders in a thorough, timely fashion for all products/services requested through the requisition process; maintain documentation of purchasing functions in order to provide objective evidence of vendor selection and price; conduct periodic information system reviews to identify and resolve discrepancies; support Museum departments to obtain budget information, identify products and services required, source vendors, obtain documented competitive bids, and insure the established accounting procedures are followed; create detailed total cost analysis and appropriate documentation related to pricing proposals, quotes, agreements, and RFP responses; participate in periodic business reviews with strategic vendors to negotiate agreements, enforce policies, resolve issues, identify opportunities to increase the supplier value and improve cost efficiencies for the MFA; support the Assistant Director to ensure compliance with established policies and procedures and provide feedback and recommendations for process revisions when appropriate.
Bachelor’s degree or equivalent experience, along with 3 to 5 years of related experience. Excellent communication and negotiation skills and proven ability to successfully manage vendor and department relationships. Must be familiar with Oracle, Excel, Word and Outlook. Knowledge of the following product categories would be a plus: facilities, mechanical, electrical, construction, photo and general building and grounds maintenance. Must be experienced working in a fast-paced environment and have demonstrated ability to meet deadlines. This is a temporary position through late November 2018.
